We take protecting your privacy very seriously and will always take all reasonable steps to ensure that your information is safe and confidential.

The type of personal information we collect
In order to provide our tutoring and mentoring services it is necessary that we collect and process certain personal information about our clients and students. We currently collect and process the following information:
• Your full name
• The student’s full name
• Your contact information such as email address and phone number • The student’s contact information such as email address and phone number • Your home address
We may also collect personal data when you use our website. Information such as your IP address and details of your device may be used in order to help maintain our site analytics.
This information may also include details about your use of this website, including:

• Internal links
• Pages visited
• Scrolling
• Searches
• Timestamps
We share this information with Squarespace, our website analytics provider, to learn about site traffic and activity.
We may also collect other non-personal data such as the student’s age, school name and school year in order to tailor our services appropriately and to provide ongoing support.
In general, we do not request nor process special categories of personal data unless this information is deemed strictly necessary and is provided with the explicit consent of the client. In the event that information concerning a student’s health or special educational needs as a result of a medical condition is provided to us during the course of our normal business activities, this information will be handled sensitively and not used for any other purpose other than to protect the vital interests of the student and to inform the teaching approach and tailored lesson content.
If such information is provided to us, you maintain the right to withdraw your consent to the processing of that information at any time by contacting us at e.m.staniland@gmail.com.
How we get the personal information and why we have it
Most of the personal information we process is provided to us directly by you through completion of our initial contact form or if you enquire about our services directly via email, text or over the phone. This information is necessary for one or more of the following reasons:
• To contact clients to arrange lesson dates
• To allow lessons to take place (either online or face to face at a client’s address) • To send the ‘Tutoring Contract’ for signing prior to lessons
• To inform clients of my teaching materials, teaching plan and teaching style • To set homework
• To assess and provide feedback to students
• To send update reports (informal updates including work completed and tutor feedback)
• To receive payment for services provided
• To raise any concerns around student performance or behaviour

Please note, as set out in the UK GDPR and Data Protection Act 2018, a child aged 13 and above is deemed competent (unless the contrary can be proven on a case by case basis) to provide their own consent to the processing of their own personal data.
Who we share your data with
We will not disclose any of your personal data except in accordance with this policy, or when we have your permission, or under special circumstances, such as when we believe in good faith that the law requires it or to protect the rights and safety of others. This includes disclosing your details if required to the police, regulatory bodies or legal advisors.
We will periodically share minimal personal data (such as your name) with our accountants and HMRC as part of managing our financial actions and relevant legal obligations.
How we store your personal information and for how long
In our commitment to upholding your privacy rights we maintain appropriate technical and organisational controls to protect your personal information. For example, our online forms are always encrypted and only those who have a business need to access your information and who are trained in handling data securely will have access to your information.
We will only ever keep your personal information for as long as we have a legitimate business need or there exists a legal requirement. Typically we will retain your information for the duration of any client tuition and then for a further twelve months after the tuition has expired, in order to meet our legal obligations. Minimal information may also need to be retained for HMRC obligations, often for s period of seven years. After such time as your personal information is no longer required it will be securely deleted from our systems.
Your data protection rights
Under UK GDPR, you have a number of rights when it comes to your own personal information and the way it is processed by organisations, including us. These include:
Your right of access - You have the right to ask us for copies of your personal information.
Your right to rectification - You have the right to ask us to rectify personal information you think is inaccurate. You also have the right to ask us to complete information you think is incomplete.
Your right to erasure - You have the right to ask us to erase your personal information in certain circumstances.
Your right to restriction of processing - You have the right to ask us to restrict the processing of your personal information in certain circumstances.
Your right to object to processing - You have the the right to object to the processing of your personal information in certain circumstances.
Your right to data portability - You have the right to ask that we transfer the personal information you gave us to another organisation, or to you, in certain circumstances.
You are not required to pay any charge for exercising your rights. If you make a request, we have one month to respond to you.
